Installing a new MedTech system or upgrading an existing one is a complex process requiring specially trained teams to ensure the technology can deliver the expected results.
Depending on the complexity of the product, the process can take weeks or even months for site preparation, delivery, installation, testing, integration with site systems and quality verification before use, with each stage documented by multiple layers of stakeholders.
To implement and upgrade products and solutions, Varian and our customers have used paper documentation and manual workflows, creating a burden on both.
During the last half of 2024, Varian piloted a new digital documentation tool to streamline this process and based on its success, has begun expanding its use.
“At Varian we’re always looking for ways to streamline our processes to deliver more value to our customers,” said Kevin Mace, Head of Global Installations for Varian.
The digital tool enables customers to review and sign documentation electronically, even forward to other stakeholders whose sign-off or review may be required, eliminating paper while accelerating the approval process in any installation.
“At Varian we’re always looking for ways to streamline our processes to deliver more value to our customers,” said Kevin Mace, Head of Global Installations for Varian. “This new approach improves the process efficiency, traceability, and allows our engineers to focus on installing and repairing our equipment rather than chasing paperwork.”
Last year, Varian processed more than 10,000 installation documents from more than 2,700 users. The system was initially used for more than 50 installation or upgrade projects between August and December 2024. Through the first calendar year, we expect to save nearly 1,800 hours of time among Varian and customer teams.
Based on its early success, use of the digital platform is slated for expansion to other business areas, including field service, Digital Oncology and Varian Proton Services.
